BambooHR implementation for a company under 500: timeline, cost and what goes wrong

Short answer: for a company under 500 people, a BambooHR implementation takes five to seven weeks when your employee data is in reasonable shape, and seven to nine when it needs cleaning first. Most of that time goes into decisions and data. Clicking through the configuration is the fast part.

BambooHR is the system I've set up and fixed more than any other, and the questions I get before a rollout are almost always the same: how long will this take, what does BambooHR's own team handle, and where do these projects go sideways. Here's what I tell people.

How long does a BambooHR implementation take?

Five to seven weeks for a company under 500 on one payroll, with a week or two added for every extra data source that disagrees with the others. A typical shape looks like this:

  • Week 1 - requirements. Which fields you actually need, who approves what, who sees compensation, and which systems have to talk to BambooHR.
  • Weeks 2-3 - data. Exporting from wherever employee data lives today (spreadsheets, an old HRIS, payroll), mapping it to BambooHR fields, cleaning it, and loading a test batch.
  • Weeks 3-5 - configuration. Custom fields, access levels, time-off policies, onboarding and offboarding task lists, approval workflows and the reports people will ask for in month one.
  • Weeks 5-6 - integrations. Payroll, the ATS, IT provisioning, Slack or Teams.
  • Weeks 6-7 - go-live. A short parallel run, training for managers and employees, and the written process for whoever owns the system next.

If your data currently lives in four spreadsheets that disagree with each other, clean it before the import. It's a lot cheaper to fix a record before it's in the new system than after people have started trusting the reports.

What does BambooHR's own onboarding cover?

BambooHR's implementation team walks you through setting up the product. What they can't do is make your decisions for you: which of the forty fields in your old system are worth keeping, who should see salaries, what your offboarding checklist should contain, or which record is right when payroll and your spreadsheet disagree.

Those decisions are where most rollouts stall, and they're the part I usually take on.

The five things that stall most BambooHR rollouts

  1. Importing dirty data. Duplicates, outdated job titles, missing termination dates. Once it's in, the reports are wrong, and people quietly go back to their spreadsheets.
  2. Too many custom fields. Every field someone asked for "just in case" becomes a field nobody fills in. I aim for the fewest fields that answer real questions.
  3. Access levels left at the defaults. Managers seeing pay they shouldn't, or employees unable to update their own address. Decide this in week one.
  4. Onboarding task lists copied from the old checklist. The old checklist was built around the old way of working. Rebuild it around who does what in BambooHR, with due dates relative to the start date.
  5. No owner after go-live. Someone has to own field definitions, new-hire setup and report requests once the project ends. Without a written process, the system drifts.

BambooHR for Canadian and cross-border teams

Canadian teams typically run payroll through a Canadian provider connected to BambooHR through its integrations marketplace. That makes the field mapping between the two systems matter a lot more - province, tax details, pay groups, employee numbers. If you pay people on both sides of the border, plan the payroll integration in week one, before configuration choices lock it in.

The integration is only as good as the agreement about which system owns each field. Write that down before anything gets connected.

Should you implement BambooHR yourself or bring in help?

You can do it yourself with BambooHR's onboarding support if you have someone in-house with a few spare weeks, your data is clean, and the setup is simple: one country, one payroll, no complicated approvals.

Bring in help when any of these are true:

  • Employee data is spread across several sources that disagree
  • You run payroll in more than one country
  • There's a deadline - an audit, due diligence, a new HR hire who needs a working system on day one
  • Nobody on the team has set up an HRIS before

What to have ready before you start

  1. An export of every employee record you have, from every place it lives.
  2. Your latest payroll register.
  3. A list of the systems that need to talk to the HRIS.
  4. One person who can answer questions the same day, with about two hours free in week one.
